Shipping & Returns Policies
Shipping Policy
CHHC B2B Shipping & Logistics Policy 1. Purpose CHHC AGRICULTURAL PRODUCTS WHOLESALING is committed to providing professional, transparent, and coordinated shipping services for international B2B buyers sourcing agricultural commodities, food products, edible oils, rice, sugar, wheat flour, fertilizers, and other products. This Shipping Policy establishes the general framework for order processing, cargo preparation, international transportation, documentation, delivery, customs responsibilities, insurance, inspection, and shipment claims. The specific shipping obligations for each transaction shall be governed by the applicable Proforma Invoice (PI), Sales Contract/Purchase Agreement, and agreed Incoterms® rule. CHHC's existing export documentation framework similarly states that final obligations should be established in the quotation and sales contract. 2. B2B Shipping Terms CHHC can arrange transactions under commercially agreed Incoterms®, including, where applicable: EXW — Ex Works FOB — Free On Board CFR — Cost and Freight CIF — Cost, Insurance and Freight The applicable Incoterm, named place or port, allocation of costs, and transfer of risk will be clearly stated in the applicable quotation, PI, or Sales Contract. For international shipments, CHHC will not assume responsibilities beyond those allocated to the seller under the agreed Incoterms® rule. 3. Order Processing Shipping arrangements begin after: Product specifications are confirmed; Quantity and packaging are agreed; Destination and shipping requirements are confirmed; Commercial terms are accepted; The Proforma Invoice or Sales Contract is approved; and Required payment conditions have been fulfilled. CHHC's current payment policy provides that, unless otherwise agreed, qualifying orders above the applicable MOQ generally require 30% advance payment against the confirmed PI and 70% before shipment. Alternative arrangements, including approved Letters of Credit for suitable large-volume transactions, may be agreed in writing. 4. Minimum Order Quantity MOQ varies according to: Product Packaging Destination Supply source Container configuration Production requirements Commercial agreement The applicable MOQ will therefore be stated in the quotation or PI. The MOQ stated in a specific quotation or Sales Contract takes precedence over any general website information. 5. Packaging & Cargo Preparation CHHC coordinates product packaging according to the agreed specification. Depending on the commodity, packaging may include: PET bottles Jerry cans Bags Cartons Drums Pallets Bulk packaging Other approved commercial formats Cargo will be prepared according to the agreed product specification and shipping requirements. For containerized shipments, loading quantities depend on packaging dimensions, palletization, container type, product density, gross weight, payload limitations, and applicable transport regulations. Accordingly, CHHC confirms the final loading quantity for each shipment rather than guaranteeing one universal container capacity. 6. Shipping Documentation Depending on the product, destination and contractual requirements, CHHC may coordinate applicable documents including: Proforma Invoice Commercial Invoice Packing List Bill of Lading Certificate of Origin Certificate of Analysis (COA) Product Specification Sheet Inspection Certificate Health/Sanitary Certificate, where required Phytosanitary Certificate, where required Insurance Certificate, where applicable Export Declaration Other destination-specific regulatory documents Not every document applies to every shipment. Documentation requirements depend on the commodity, origin, destination, Incoterm, transport method and applicable regulations. 7. Shipping Schedule The estimated shipment schedule will be communicated during the quotation and order-confirmation process. Shipping schedules may depend on: Product availability Production or packing time Payment confirmation Quality inspection Export clearance Vessel availability Port congestion Shipping-line schedules Customs requirements Destination-country requirements Force majeure events Any stated shipment date is therefore an estimated schedule unless expressly guaranteed in the Sales Contract. 8. Port of Loading & Destination The port of loading and destination port will be identified in the applicable quotation, PI or Sales Contract. The buyer must provide accurate: Destination country Destination port Consignee information Notify-party information Importer details Shipping instructions Required documentation Incorrect or incomplete information may result in delays, additional costs, documentation amendments or shipment complications. 9. Freight & Insurance Freight and insurance responsibilities depend on the agreed Incoterm. FOB The seller's and buyer's responsibilities are divided according to the applicable FOB rule. CFR CHHC may arrange and pay ocean freight to the named destination port, while risk transfers according to the applicable Incoterms® rule. CIF CHHC may arrange freight and cargo insurance to the named destination port in accordance with the agreed CIF transaction. EXW The buyer assumes greater responsibility for transportation and related arrangements from the agreed place. The exact responsibilities always follow the Incoterms® rule stated in the commercial contract. 10. Customs Clearance & Import Responsibilities Unless otherwise agreed in writing, the buyer/importer is responsible for destination-country import clearance, including: Import permits Customs duties VAT/GST and other applicable taxes Port charges Customs brokerage Import licenses Destination regulatory requirements Local transportation after the applicable delivery point Buyers are responsible for confirming that the product can legally be imported into their destination market. CHHC will provide agreed export documentation required from the seller's side and will coordinate with relevant logistics and regulatory parties as applicable. 11. Third-Party Inspection For qualifying transactions, buyers may request independent inspection by a recognized inspection company. Depending on the agreement, inspection may cover: Quantity Weight Packaging Product sampling Product specifications Container condition Loading supervision Pre-shipment inspection The inspection company, scope, timing, location and costs must be agreed before shipment. 12. Shipment Tracking Where tracking information is available, CHHC will provide relevant shipment information to the buyer, which may include: Vessel name Voyage number Container number Bill of Lading information Estimated departure Estimated arrival Port information Shipping schedules remain subject to changes by carriers, ports, customs authorities and other logistics providers. 13. Cargo Damage & Shipment Claims Buyers should inspect cargo promptly upon arrival. Any apparent: Physical damage Shortage Packaging damage Water damage Seal discrepancy Incorrect cargo Quality discrepancy should be documented immediately. The buyer should provide: Photographs/videos Delivery records Container/seal information Packing List Bill of Lading Inspection report, where applicable Details of the claimed discrepancy Claims should be submitted to CHHC within the period specified in the applicable Sales Contract. Where cargo insurance or carrier liability applies, CHHC will assist in coordinating the appropriate claim process in accordance with the contractual arrangement. 14. Product Quality Claims Quality claims must be assessed against the agreed product specification, COA, contract terms and applicable tolerances. For commodities such as rice, sugar, edible oils and wheat flour, relevant technical parameters may include moisture, purity, broken percentage, FFA, peroxide value, protein, ash, Brix, or other product-specific specifications. A quality claim should therefore identify the specific contractual specification that is alleged not to have been met. 15. Delivery Unless otherwise specified in the Sales Contract, delivery is completed according to the agreed Incoterms® rule. For example, under a port-based transaction, the buyer may remain responsible for: Destination customs clearance Import duties and taxes Port handling after the seller's contractual delivery point Local transportation Unloading Warehousing The exact allocation of responsibility is determined by the agreed Incoterm. 16. Delays Beyond CHHC's Control CHHC shall not be responsible for delays caused by circumstances beyond its reasonable control, including: Port congestion Vessel delays Shipping-line cancellations Customs delays Government restrictions Natural disasters Severe weather War or civil disturbance Strikes Epidemics/pandemics Regulatory changes Equipment shortages Transportation disruptions Other force majeure events Where such circumstances affect a shipment, CHHC will communicate material developments to the buyer and work with the relevant parties to determine an appropriate course of action. 17. Additional Costs Any additional costs resulting from circumstances attributable to the buyer may be charged to the buyer where permitted by the Sales Contract. These may include costs arising from: Incorrect shipping information Destination changes Documentation amendments Delayed payment Storage Demurrage Detention Port charges Customs delays attributable to the buyer Failure to provide required import documentation Special handling requested by the buyer Any significant additional charge should be communicated to the buyer where reasonably practicable. 18. Shipment Cancellation Cancellation provisions shall be governed primarily by the applicable PI or Sales Contract. Where an order has already entered procurement, production, packaging, inspection or shipping preparation, cancellation may result in costs that are recoverable from the buyer according to the agreed contractual terms. 19. International Trade Documentation CHHC aims to maintain consistency between commercial and shipping documents. Product descriptions, quantities, packaging, weights, origin information and shipment details should correspond across applicable documents, including the Commercial Invoice, Packing List, Bill of Lading, COA and Certificate of Origin. 20. Buyer Responsibility International buyers are responsible for providing accurate information and ensuring compliance with applicable destination-country requirements. Before placing an order, buyers should confirm: Product import eligibility Required licenses Import permits Labeling requirements Food-safety requirements Sanitary requirements Phytosanitary requirements Customs requirements Destination taxes and duties Packaging requirements Required certifications CHHC can coordinate applicable documentation where agreed, but destination-country import requirements remain the responsibility of the importer unless otherwise expressly agreed in writing. 21. Governing Commercial Documents In the event of any inconsistency between this general Shipping Policy and the terms of a specific transaction, the following order of precedence shall generally apply: 1. Signed Sales Contract/Purchase Agreement 2. Confirmed Proforma Invoice 3. Agreed Purchase Order 4. Applicable CHHC policies The specific contractual terms agreed between CHHC and the buyer therefore govern the individual shipment. 22.
